Permanent Part-Time (30 hours/week)

Purpose Statement: Through excellent customer service to donor, volunteers, vendor, sponsor and fellow colleagues, the Database and Events Assistant supports the organization as it builds and maintains strong relationships and executes fundraising programs and events.

JOB SUMMARY: The Database & Events Assistant provides administrative and organizational support to the database administrator and the events team.

CORE RESPONSIBILITIES – Database Assistance

      Donations Processing

  • Efficient and timely processing of all data related to donations, including receipts, acknowledgements, ensuring compliance with Canada Revenue Agency systems
  • Deposit preparation
  • Other duties as required

      Donor Services

  • Issuing duplicate tax receipts, respond to online donor requests
  • Coding donor files

CORE RESPONSIBILITIES – Events Assistance

  • Vendor customer service – sponsorship invoicing, ticket purchase management, ensuring terms of contracts are met.
  • Support the volunteer program by managing contacts, correspondence and event-day coordination.
  • Assist with general administration for events such as scheduling meetings, preparing presentations, preparing materials for events, and maintaining events calendar.
  •   Assist with event logistics, operations, set-up, take-down and provide on-site support.

CORE RESPONSIBILITIES – Office Assistance

  • Reception: welcoming walk-in traffic, calls to main office line
  • Receiving and processing in-person, phone donations and monthly donations
  • Ordering office supplies
  • Preparing, printing and mailing packages

 EDUCATION & KNOWLEDGE

  • Background in the use of Raiser’s Edge/Blackbaud NXT or similar Customer Relations Management (CRM) systems is an asset.
  • Events Management certificate or experience as an events or communications assistant/intern, or in a similar role in customer service.
  • Competency in using advanced features of MS Office (Excel, Word, Outlook, PowerPoint) is critical.
  • Working knowledge of MailChimp is an asset.
  • Some photography and video skills would be an asset.

Available for some evening and weekend hours
